Privacy Policy

1. Data We Collect
- Account Info: Just your email and name so you can log in.
- Your Maps: We store the mind maps you create so you can access them anywhere.
- Usage Data: Basic, anonymous info (like browser type) to help us fix bugs.
- Connector Usage: When you use an AI assistant connected to CloudMindMaps, we log anonymized metadata about each request — which action ran (e.g. create or list a map), which assistant made it, a timestamp, and a hashed, non-identifying user reference — to power usage statistics and reliability. We never log the contents of your mind maps in these analytics.
2. How We Use It
- To keep your account running.
- To send you critical updates (no spam).
We never sell your data to third parties. Period.
3. Your Control
- You can edit or delete your maps at any time.
- If you delete your account, your data is wiped from our active database immediately.
4. Security
We use industry-standard encryption to keep your thoughts private. While no system is 100% unhackable, we work around the clock to keep the walls high.
5. Data Retention
We keep your account information and mind maps for as long as your account is active. When you delete a map, it is removed from our active database immediately. When you delete your account, your maps and personal data are wiped from our active systems immediately and purged from routine backups within 30 days.
6. Who We Share Data With
We do not sell your data, and we never share it for advertising. We disclose data only to the small number of trusted service providers that help us run CloudMindMaps, and only so they can perform that service on our behalf:
- Google Firebase & Google Cloud — sign-in (authentication) and hosting/storage of your account and mind maps.
- Google Gemini — optional AI features (such as converting a document you submit into a mind map) process only the content you submit for that feature, and only to return your map.
- AI assistants you connect (e.g. Claude via MCP) — if you authorize an AI assistant to access CloudMindMaps, it can create and read maps in your account on your behalf, using an access token you can revoke at any time from your account settings.
These providers process your data only to deliver the service. Aside from them, we do not share, transfer, or disclose your data to any third party, except where required by law.
7. Google User Data (Workspace Add-on)
The CloudMindMaps Google Workspace™ Add-on accesses Google user data only when you explicitly ask it to, and only to the minimum extent needed to build your mind map:
- Google Docs™, Sheets™, and Slides™ content — read only from the file you currently have open, and only at the moment you click “Generate mind map,” to derive the outline used to build your map.
- Selected Google Drive™ item metadata — the file ID, title, MIME type, icon URL, and permission state only for the item you actively select, so the add-on can display its contextual open action.
- Google Drive™ files — limited to the individual mind-map (.mm) files you open with CloudMindMaps via “Open with.” The add-on cannot see any other files in your Drive.
Who we share it with: we transmit only the derived outline to the CloudMindMaps service, which we operate on Google Cloud, solely to create your mind map and return a shareable link. We do not sell, share, transfer, or disclose Google user data to any other third party, and we do not use it for advertising or to train generalized AI/ML models.
CloudMindMaps’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
